AI payment links and payment plans for an opticians

Taking money should not need someone standing at the till. Crewley sends a payment link by text or email for a deposit, a balance or a repair, sets up monthly plans and subscriptions for contact lenses and eye-care schemes, and watches every plan for a failed payment. Payments run in the operational layer; clinical records stay in your practice management software.

Hi, I need to move my eye test on Tuesday, can't do mornings now
Hello, this is the automated assistant for the practice. I can see Tuesday 9:20 with the optometrist. The next afternoon slots are Wednesday 14:40 or Thursday 15:20. Which would you like?
Thursday please
Booked: Thursday 15:20. Your Tuesday appointment is cancelled. You'll get a confirmation text now and a reminder the day before.
Sent through the practice's own diary. No clinical detail is read or sent.

Illustrative. Replies are grounded in the diary, at any hour, and the status the patient is told is the real one.

How do payment links work?

When a balance is due, the agent sends the patient a link with the amount and what it is for. They pay on their phone. The payment lands against the right patient and order, the balance updates, and the collection can go ahead without a card machine in the way.

What can it set up as a subscription?

Monthly contact-lens plans, eye-care plans that bundle the test and a contribution to glasses, and spread payments on a large dispense. The agent creates the plan, sends the sign-up link, and records the start date and the amount.

What happens when a payment fails?

The plan is flagged the same day, the patient gets a plain message with a link to update their card, and a person is told before the next lenses are due to go out. No lenses are posted against a failed plan without someone deciding to.

Why does this matter?

Plans are how an independent competes with the multiples on contact lenses: predictable income for you, predictable cost for the patient. The admin is what stops most practices running them well. That is the part the agent does.

Questions practice owners ask

Does the agent see card details?

No. Payments are taken by the payment provider on its own secure page. The agent sends the link and reads the result, never the card.

Can it refund or change an amount on its own?

No. Refunds and changes to a plan are done by a person. The agent raises the task with the details.

Which payment provider?

The one connected in the build. The estate runs on a platform with built-in payments, and existing merchant accounts can usually be connected.

Will patients get chased?

Politely, by text, with a link to fix the card. Anything beyond that is a person's call.
