Online booking, reminders and forms for an opticians

Online booking for an opticians only works when the slots are real, the reminders go out, and the paperwork is done before the patient sits down. Crewley runs the diary side of the practice from the operational layer: booking, confirmations, reminders, no-show follow-up, waitlists and pre-appointment forms. Clinical records stay in your practice management software.

Patient · SMS · Sunday 20:41
Hi, I need to move my eye test on Tuesday, can't do mornings now
Hello, this is the automated assistant for the practice. I can see Tuesday 9:20 with the optometrist. The next afternoon slots are Wednesday 14:40 or Thursday 15:20. Which would you like?
Thursday please
Booked: Thursday 15:20. Your Tuesday appointment is cancelled. You'll get a confirmation text now and a reminder the day before.
Sent through the practice's own diary. No clinical detail is read or sent.

Illustrative. Replies are grounded in the diary, at any hour, and the status the patient is told is the real one.

How does online booking work?

Patients pick a real slot from your diary on the website, by text, on WhatsApp or through website chat. The appointment lands in the diary with the right optometrist, room and length. A confirmation goes out immediately. There is no separate calendar to reconcile.

What reminders go out?

A reminder by text and email the day before, a nudge on the morning, and a rebooking prompt when a patient's next test falls due. Patients can confirm, move or cancel by replying, and the diary updates itself. Anyone who does not turn up gets a polite follow-up and an easy way to rebook.

What about the forms?

Pre-appointment questionnaires, consent forms and contact-lens agreements are sent with the confirmation and completed on the patient's phone. They are filed against the patient in the operational layer, ready for the team, with nothing to print or scan.

Can it fill a cancelled slot?

Yes. A waitlist of patients who asked for an earlier appointment is texted the moment a slot opens, first come first served, and the diary is updated when someone takes it.

Questions practice owners ask

Does this replace our diary?

No. It books into the diary you already run and keeps it in step. The build connects the two.

Can patients book the wrong kind of appointment?

Appointment types, lengths and who can do them are set in the build, so a contact-lens check cannot land in a sight-test slot.

What if a patient replies with a question instead of a confirmation?

The agent answers what it can from the diary and hands anything else to a person with the conversation attached.

Do reminders count as marketing?

No. They are service messages about an appointment the patient has booked. Marketing messages are separate and consent-based.
